Explanation of ILLiad status terms

The ILLiad system provides the user with the ability to view the transaction history of each request. This is done by logging into your ILLiad account, then clicking on the button "View/Modify Outstanding Requests".  Explanations of the terms are below, in chronological order.

Submitted by customer

This is when you first submit the request. Sometimes it is good to know exactly when you did this so you can keep track of the ILL staff's efficiency!

Awaiting copyright clearance

When you request an article, that request is automatically put into a queue for the ILL staff to check against items we have already ordered this calendar year. The US Copyright Law states that an institution may order up to 5 articles published in the last five years per journal title per calendar year. All article requests must be kept track of and checked against a list of other article requests to make sure we have not violated this law. Some (but not all) items that would violate this law may be purchased (actually the permission to obtain the article would be purchased and not the actual article, that needs to be ordered through normal ILL channels) from an article clearinghouse.

Awaiting request processing

Once an article request has been cleared for copyright permission, or once a patron submits a loan request, it is put into this status. It just means that it is in a queue waiting for our staff to process it.

Request in processing

ILL is actively working on a request. This may include searching for a library to borrow the item from, verifying the citation, or any of the other steps in the process.

Request sent

The ILL office has ordered the item from another library.

Cancelled by ILL staff

Sometimes ILL staff need to cancel a request. Reasons for this could be copyright problems, time constraints, poor citations or various other reasons. When a request is cancelled, the patron is provided with a short note telling the reason for the cancellation. Patrons may at any time contact the ILL office for further clarification.

Cancelled by customer

Sometimes ILL patrons will cancel their own requests. When they do, the request gets a status that reflects that action.

Delivered to Web

Some items are delivered to RU electronically and we can deliver these items to patrons electronically if they chose that option when they registered to use ILLiad. Unfortunately, not all items are delivered to us this way so we cannot deliver all items to patrons that way. In general, we give it to you in the same format it was given to us.

Awaiting post receipt processing

Once an article has been received electronically and not delivered to the patron electronically, it has this status.

In print queue

Things are only in this status for a very short time. Things in this status are waiting for label printing.

Awaiting customer contact

Before customers are contacted and told that they have items waiting to be picked up, they are put on shelves in the circulation area. While that is being done, those items are given this status.

Customer notified via email

This status is given once a patron has been sent an email telling them that they have an item waiting to be picked up.

Checked out to customer

Books have slips of paper in them that the patron signs to signify that they have received the item. When ILL staff pick up these slips of paper from the circulation desk, we manually check the item out to the patron. The request status changes from customer notified via email to checked out to customer at this time.

Item not picked up

This status may be a bit misleading. What it actually means is that we checked in a book to return to it's home library that we did not formally check out to a patron. Part of our processing of incoming books is to print a slip that a patron signs when they pick up the book. When a patron picks up the book, they sign the slip and give it to the circulation desk workers so that ILL staff can keep that and make a note in the record for that book that the patron has picked it up. The misleading part is that sometimes patrons don't sign these slips, either because there wasn't one in the book or for various other reasons. So the patron may have picked up the book and returned it despite the ILL staff not checking it out. OR, this status means that the patron just never picked up the book.

Item checked in

ILL staff check items in as part of the return process. Once we check the item in, the patron is no longer responsible for it.

Awaiting return label printing

Once we check in an item, we print a return label for it so we can mail it back to the library that loaned it to us.

In return address print queue

Our ILLiad system stores lending libraries address' and we use this information to print mailing labels.

Item returned

When a book is updated to returned it is in this status. It isn't there for long.

Request finished

This is the final status of a request.

In DD Searching

This status means that the item you requested is owned by RU and has been transferred to our Document Delivery section of Interlibrary Loan and we are looking for the item in our collection.  Next it will be scanned and a PDF made from the item for you.
