Access Services Department - Lending Services and Policies
Checking Out Items
To check out library materials, you must present your own valid Radford
University ID Card at the Front Desk. Faculty may arrange for specific
students or other employees to check out materials for them by submitting a Checkout Authorization Card (aka "Proxy Card"), which is available at the Front Desk or online.
For faculty and staff, most books may be borrowed for six months, and renewed one time, after
which time items must be physically returned to be checked out again, if
needed. The loan period is reduced to four weeks if the item is requested
by another person. Journals may circulate to faculty only for a maximum of
three days. Videotapes, DVDs, and CDs have a 7 day loan period. Audiovisual equipment
checks out for 3 days.
Public patron cards can be issued to all Virginia residents,
including alumni who live in Virginia. In order to receive a public patron card, you
must present a valid Virginia driver's license or ID card (or a military
ID or passport along with verification of a Virginia address). Public patrons may
check out any library materials except audiovisual equipment; they are not eligible to use Interlibrary Loan services. We require the signature and identification (presented in-person)
of a parent or guardian for patrons under the age of 18 who request a public
patron card.
Renewing Items
Library materials should be returned on or before the date due. Some materials
are renewable and can be renewed either by phone at 540-831-5364, in person,
or through the online catalog.
To renew online: from the library's web page, select Library Catalog, then choose
My Record. Fill in your RU username and password.(Public patrons: fill in your name, barcode number, and PIN, and click submit. If you don't have a PIN, just enter your name and barcode number, and click submit; you will then see instructions for creating your PIN. If you have forgotten your PIN, contact the Front Desk at 540-831-5364 or frontdesk@radford.edu; your old PIN will be deleted and you can start over as if you never had one.) When your
name and address display, click on "Checked Out Items." Check
items you wish to renew, and click on "Renew
Selected." If you wish to renew all of
your materials, click on “Renew All.” Be sure to check the status
of the items you selected to renew. Status will show either RENEWED with
new due date, or will give a message indicating why items were not renewed.
Possible messages indicating that your items were not renewed: Too Many Renewals (there is a limit of 1 renewal for most items; you may bring the item back into the library and re-check it out, as long as no one else is waiting for the item); Registration Expired (your library registration's expiration date is dependent on several factors, such as whether you are currently enrolled at RU, whether we have your current address and phone number, etc.; simply contact the Front Desk in person or by phone at 540-831-5364 to have your registration updated); On Hold (another patron is waiting for the item).
Searches and Holds
If an item is not on the shelf, and not checked out in the online catalog,
stop at the Front Desk for assistance. The item could be in the process
of being reshelved. A search for an item can be requested at
the Front Desk. You may also request that checked-out items be recalled
and held for you.
Book Recall
If an item is needed by another user, it may be recalled and assigned an
earlier due date than the date assigned at check-out. You will be notified
if your checked-out item is being recalled. You may also request that checked-out
items be recalled and held for you. You will be notified when the item has
been returned and is
being held for you at the Front Desk.
Audiovisual Equipment
The following audiovisual equipment is available for RU students and employees for 3-day checkout; it is not renewable. It can be checked out and returned at the Front Desk. Click equipment name for more information and current availability. Patrons are strongly encouraged to book equipment in advance by calling the Front Desk at 540-831-5364.

fines vary |
*Harvey Center materials have been moved to McConnell Library. Materials still designated as part of the Harvey Collection have the loan periods and fines listed above.
Additional fines are charged for items damaged beyond normal wear and tear. Replacement charges and processing fees are assessed when items are not returned.
Overdue fines are not charged to faculty and staff (or their registered family members), or to Graduate Teaching Fellows
(GTFs) who are currently teaching classes.
All monetary transactions such as payment of fines,
printing credit, etc. are handled at the Front Desk. The Front Desk accepts cash, checks, and RU Express. (Credit cards are not accepted.) Unpaid charges may result in registration, transcript, and diploma blocks for current and former students, as well as suspension of borrowing privileges. Patrons with unpaid charges are submitted to the Virginia Debt Setoff program, and amounts due will be withheld from state tax refunds or other state sources of income.
The library sends notification of overdue materials by email. Final bills are sent by postal mail. Library patrons should notify the Front Desk of any change to email addresses, postal addresses, or phone numbers.
Proxy Checkout Information for Faculty and Staff
Faculty and staff may allow students to check out materials for them.
A "Checkout Authorization Card" (aka "Proxy Card") must be completely filled out and on file at the Library before proxy
checkouts can occur. A new card must be filled out each semester, for each person for whom permission is granted. A faculty/staff ID must be shown at the time the card is turned in to the Library.
You may choose whether to require a student to present your RU ID card at each subsequent proxy checkout. The student's ID is required to be shown at each checkout.
Checkout Authorization Cards are available at the Library, or may be printed from this web
page (click here).
Theft or Mutilation of Library Materials
Theft or mutilation of library materials is a violation of state law which may be taken before the University Judicial Board and reported to University Police.
